Welcome to The Riley Roo Way™ (“RRWAY™”, “we”, “us”, or “our”). We’re committed to protecting the privacy and personal information of our community of pet parents, caregivers, and trusted supporters. This Privacy Policy explains how we collect, use, share and protect your personal information when you interact with our services — including but not limited to our mobile app, website, and any related offerings (collectively, the “RRWAY™ Services”), or when you otherwise interact with us.

By using our Services, you agree to the terms of this Privacy Policy. If you do not agree with any part of this Policy, please do not use our Services.

Information We Collect

The information we collect varies based on how you interact with The Riley Roo Way™, which features or services you use, and the choices you make. We collect and process your information with your consent and/or as necessary to provide the products and services you request, operate our business, fulfill our legal and contractual obligations, protect the integrity of our platform and its users, and pursue other legitimate interests in accordance with applicable law.

We collect personal information in a variety of ways when you use our Services. This includes:

  • (a) Information you provide directly to us
  • (b) Information provided by other users
  • (c) Information we collect automatically
  • (d) Information received from third-party service providers
  • (e) Information collected through cookies and other tracking technologies

Providing personal information is generally voluntary; however, certain features or services may require it to function properly. When you are asked to provide personal information, you may choose to decline. Please note that if you choose not to provide required information, certain features or services may be limited or unavailable.

The sections below describe the types of information we may collect, and how that information may be obtained.

How do we collect your information?

a. Information You Provide DirectlyWe collect information that you voluntarily provide when you:

  • Create an account or complete your user or pet profile
  • Provide contact information to enable user-to-user interactions
  • Use interactive tools and features within the Services
  • Submit feedback, support requests, or bug reports
  • Communicate with us via email, phone, or in-app messages
b. Information Provided by Other Users

We may collect limited information about you from other users, such as when they:

  • Share limited personal information (such as name or email) to facilitate user-initiated interactions
  • Mention you while using communication or sharing features available through the platform
  • Submit feedback or other content that may include references to your involvement or interactions
c. Information Collected Automatically

When you interact with our Services, we may automatically collect certain technical and usage information, including:

  • Device Information – such as your phone model, browser type, operating system, IP address, and unique device identifiers
  • Usage Activity – including screens viewed, buttons tapped, access times, and pages visited
  • Session Data – such as login session tokens and temporary user identifiers used to maintain your login state
  • Time Zone & Language Settings – to help us deliver a localized experience
  • Crash Logs & Diagnostics – for identifying and resolving issues
  • Push Notification Tokens – for users of our mobile app, device tokens are collected via Firebase Cloud Messaging to deliver app notifications
  • Local Storage Values – stored on your device to maintain preferences and performance optimizations within the app

This data is collected to support core functionality, enhance your experience, and improve overall service reliability. We do not use this data for advertising or behavioral profiling.

d. Information from Third Parties

We may receive information about you from third-party sources when you use certain services or integrations. This includes:

    • Analytics and Support Tools – such as crash reporting or diagnostic platforms that help us operate and improve our Services
    • Social Login Providers – such as Google or Apple, when you sign in using a single sign-on (SSO) option. When you do, we may receive the following:

 

    • Your name
    • Email address
    • Profile picture (if available)
    • Other basic account details, based on the permissions you’ve granted

This information is used only for account creation and authentication. We do not request or access additional data from these providers beyond what is required for login functionality.

You can manage what information is shared with us by adjusting your privacy settings within your Google or Apple account.

e. Cookie and Tracking Technology Information

We use cookies and similar technologies (“Cookies”) to help operate, secure, and improve The Riley Roo Way™ Services. These technologies allow us to:

  • Recognize returning users
  • Maintain login sessions and user preferences
  • Measure performance and usage trends
  • Identify issues and optimize performance

What We Do Not Use:

  • We do not use advertising, behavioral, or third-party marketing cookies.
  • We do not engage in cross-site tracking or retargeting.

Most web browsers accept cookies by default. You can modify your browser settings to block or delete cookies; however, doing so may impact the functionality of certain features within the Services.

How do we use your information?

We use the personal and pet-related information we collect to ensure The Riley Roo Way™ is functional, personalized, secure, and supportive of your needs. Below is a summary of how we may use your information:

a. To Create and Manage Your Account

  • Authenticate your identity when logging in
  • Maintain secure user sessions across devices
  • Store your preferences and profile details
  • Support account recovery and password resets

b. To Support Pet Profile Management

  • Store basic and optional information such as a pet’s name, age, breed, or health considerations
  • Enable users to add or organize pet-related content, such as notes or documents
  • Help users manage and access information that may be relevant to a pet’s care

c. To Enable Connections

  • Facilitate secure interactions between users
  • Enable features that support planning or collaboration
  • Provide appropriate access to pet-related information for authorized individuals

d. To Send Relevant Communications

  • Deliver notifications or alerts related to your use of the Services
  • Send email or in-app messages for updates, confirmations, or reminders
  • Respond to your questions, requests, or submitted feedback
  • Provide general user support and assistance
  • Share important notices, such as security updates or service-related changes

e. To Analyze and Improve the Services

  • Monitor app usage trends
  • Identify and fix bugs or performance issues
  • Evaluate new feature performance
  • Conduct internal research to enhance the experience
  • Present content that may be relevant to your use of the Services

f. To Maintain a Safe and Trustworthy Environment

  • Detect and prevent fraudulent or abusive activity
  • Enforce our Terms of Service and Community Guidelines
  • Investigate reports or unusual behavior
  • Ensure only authorized access to sensitive information
  • Protect ourselves from potential litigation or legal claims
  • Comply with applicable legal obligations
  • Carry out any other purpose described to you at the time the information is collected

g. To Comply with Legal Requirements

  • Maintain records required by law
  • Respond to valid legal requests from authorities
  • Support compliance with applicable privacy laws
  • For any other purpose with your consent, or as otherwise described to you at the time of collection
How do we disclose your information?

We take your trust seriously and do not sell your personal information. However, in order to provide a seamless and secure experience on The Riley Roo Way™, we may share your information in limited circumstances, as described below.

a. With Trusted Individuals You Choose to Connect With​If you choose to share access to your pet’s information with others, we may share selected content based on your preferences. This may include:

  • Pet-related details or documents and notes you choose to share
  • Information that supports care, planning, or communication
  • Content made available to trusted individuals you authorize

b. With Service ProvidersWe work with a limited number of trusted third-party service providers who support essential elements of our platform. These include:

  • AWS Amplify – for secure hosting, storage, and backend infrastructure
  • Firebase Cloud Messaging (FCM) – to manage and deliver push notifications
  • Google Analytics – to collect basic usage metrics for performance monitoring and improvement
  • Technical support and diagnostic providers
  • Communication platforms (e.g., email or in-app messaging tools)
  • Payment processing providers (if applicable)

Each service provider is contractually obligated to process only the minimum data necessary to perform their specific function and to adhere to industry-standard privacy and security practices.

c. For Legal Compliance and Safety

  • Comply with applicable laws, regulations, or legal processes
  • Respond to lawful requests by public authorities (e.g., subpoenas)
  • Protect our rights, property, or safety, or that of our users or the public
  • Detect and prevent fraud, misuse, or security incidents

d. Analytics Services Provided by Third PartiesAt this time, The Riley Roo Way™ does not serve third-party advertisements or engage in behavioral or interest-based advertising.

We use basic analytics tools, such as Google Analytics, to help us understand how users interact with our Services. These tools may collect:

  • Device type and operating system
  • General location (e.g., country or time zone)
  • App usage trends, session duration, and screen views
  • Navigation patterns and feature performance

We do not use advanced or personalized analytics features such as:

  • Button or link click tracking
  • Conversion or revenue tracking
  • Campaign-based or behavioral targeting

We may share de-identified or aggregated data (which cannot identify any individual user) for the purpose of internal research, platform improvement, or operational planning.

Information SecurityThe Riley Roo Way™ takes reasonable and appropriate technical and organizational measures to help protect personal information from loss, theft, misuse, and unauthorized access, disclosure, alteration, or destruction.

While we are committed to safeguarding your data, no method of transmission over the internet or method of electronic storage is entirely secure. Therefore, although we use commercially reasonable safeguards — including access controls, encryption where applicable, and secure hosting environments — we cannot guarantee absolute security.

Two-factor authentication (2FA) is available as an optional security feature. We encourage all users to enable it for added protection.

We also encourage you to take steps to protect your account:

  • Use a strong, unique password
  • Do not share your login credentials with others
  • Avoid reusing passwords across multiple platforms
  • Data is encrypted in transit and at rest using industry-standard encryption protocols via AWS
  • Role-based access control limits platform data access to authorized personnel only

Protecting your information is a shared responsibility, and we appreciate your cooperation in helping keep the RRWAY™ community safe.

Information RetentionThe Riley Roo Way™ retains personal information for as long as necessary to provide our Services, fulfill user requests, comply with legal obligations, resolve disputes, enforce agreements, and support other lawful business purposes.

Retention periods may vary based on the nature of the information and how it is used. Factors that may influence how long we retain data include:

  • Whether users have access to view, manage, or delete their data
  • The purpose for which the data was collected
  • User expectations and level of consent
  • The sensitivity of the data
  • Legal or contractual obligations
  • The continued need to support platform functionality
  • Firebase device tokens are deleted when a user uninstalls the app or disables notifications
  • Care request records or logs may be retained in a non-personal form for caregiver accountability

When personal information is no longer needed, we take reasonable steps to delete or securely de-identify it, in line with applicable laws and industry best practices. In some cases, we may retain certain data in backup archives or as required by law, even after a deletion request has been submitted.

Your Privacy ChoicesAt The Riley Roo Way™, we’re committed to giving you meaningful control over your information — even as a growing platform. While we don’t yet offer a centralized privacy management dashboard, we do provide simple ways to manage certain data and communication preferences.

Our Services are currently intended for use within the United States. If you access The Riley Roo Way™ from outside the U.S., you do so at your own discretion and are responsible for complying with local laws in your jurisdiction.

a. Access, Correction, and Deletion Requests

You may request to:

  • Access the personal information we’ve collected about you
  • Correct inaccurate or outdated information
  • Request deletion of your account or specific information (subject to legal or operational requirements)

To make any of these requests, please email us at contact-us@rileyrooway.com. We may need to verify your identity before processing your request.

b. Push Notifications and Device Settings

  • You can manage push notifications through your mobile device settings (iOS or Android)
  • In-app notification preferences, where available

c. Cookies and Tracking Technologies

We use cookies and similar technologies to help operate, secure, and improve our Services. You can adjust your browser settings to block or delete cookies. Please note that some features may not function properly if cookies are disabled.

Account and Data Deletion
User Control and RightsYou may request deletion of your account or pet profile at any time within the app or by contacting us at contact-us@rileyrooway.com. Please note that we may be unable to fulfill deletion requests while there are active care requests or unresolved transactions associated with your pet parent account or pets.We honor all valid deletion requests promptly and without unnecessary delay, in line with applicable privacy regulations.

Pet Parent Profiles

If you delete your Pet Parent account, your profile and all associated personal data will be permanently removed from the platform. You will no longer have access to any pets, documents and notes, or care history. Any previously exchanged communications or activity logs may remain visible to caregivers you’ve worked with, as part of their care record.

Once deleted, your account cannot be restored. You may re-register using the same email or mobile number, but this will create a new pet parent account.

Users with dual roles (e.g., Pet Parent and Caregiver) must delete each role separately if full removal is desired.

Users can delete their account information at any time. To do so, they need to go to the Settings section within the application and select the option to delete their profile.

Pet Profiles

When you delete a pet profile from your account, that pet will no longer be accessible or visible to you or other users. However, limited non-personal information — such as prior care request history — may remain visible to caregivers involved in those requests, solely for record-keeping purposes.

This retained information is minimal, read-only, and cannot be used to initiate new interactions.

Data Retention

We may retain limited non-identifiable data after account deletion as permitted by law and to support safety, system integrity, and legitimate operational needs. This data is never shared or used for marketing.

California and U.S. State Privacy Rights & Notices (Do Not Sell or Share)Residents of California and certain other U.S. states have specific rights regarding their personal information under applicable privacy laws, such as the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA). These rights may include:

  • Right to Know: You may request information about the categories and specific pieces of personal information we have collected about you.
  • Right to Delete: You may request the deletion of personal information we have collected from you, subject to certain exceptions.
  • Right to Correct: You may request correction of inaccurate personal information we maintain about you.
  • Right to Opt-Out of Sale or Sharing: You may request that we do not sell or share your personal information.
  • Right to Non-Discrimination: You have the right not to receive discriminatory treatment for exercising your privacy rights.

The Riley Roo Way™ does not sell or share personal information as defined under applicable privacy laws. We do not exchange your personal information for monetary or other valuable consideration, nor do we share it for cross-context behavioral advertising purposes.

If you are a resident of California or another U.S. state with similar privacy laws and wish to exercise any of your rights, or have questions about your rights, please contact us at contact-us@rileyrooway.com. We will respond to your request in accordance with applicable laws. Please note that we may need to verify your identity before processing certain requests.

Children’s PrivacyThe Riley Roo Way™ is intended for adult users. We do not knowingly collect or solicit personal information from children under the age of 18 (or the minimum age required in your jurisdiction). If we learn that we have collected personal information from a child under the age of 18 without verified parental consent, we will delete it.

Changes to our Privacy Policy Statement

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we do, we’ll revise the “Effective Date” above and, if the changes are significant, we’ll provide additional notice (such as posting a notice in the app or sending you a direct message) or obtain consent regarding such changes as may be required by law.

We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting your information.

The practices described in this Privacy Statement are subject to applicable laws in the locations in which we operate; this means that we only engage in the practices described below in a particular location if permitted under the laws of that location.
